    The Rig Administrator is responsible for providing comprehensive administrative and clerical support to the offshore rig management team. This position ensures accurate and timely management of personnel records, payroll and timesheets, documentation, correspondence, purchasing, reports, and other administrative activities required for the safe and efficient operation of the rig.
    The Rig Administrator works closely with the OIM, Rig Manager, department heads, crew members, HR, payroll, logistics, and onshore management.

    Key Responsibilities

    • Maintain accurate personnel records for all crew members onboard.
    • Manage crew sign-on/sign-off documentation and personnel movements.
    • Maintain crew lists, POB (Personnel on Board) records, and daily personnel reports.
    • Process and verify employee timesheets, attendance records, overtime, and work hours.
    • Assist with payroll-related documentation and resolve discrepancies with the appropriate onshore departments.
    • Maintain accurate records of crew rotations, vacation schedules, travel, and leave.
    • Coordinate personnel travel arrangements, including flights, transportation, hotels, and crew changes when required.
    • Prepare and distribute daily, weekly, and monthly administrative reports.
    • Maintain electronic and hard-copy filing systems in accordance with company procedures.
    • Ensure offshore personnel documentation and certifications are properly recorded and up to date.
    • Assist with audits by maintaining accurate and readily accessible records.
    • Handle incoming and outgoing correspondence, emails, and official documentation.
    • Assist the OIM and department heads with administrative duties and reports.
    • Maintain confidential personnel and company information.
    • Prepare purchase requests, requisitions, and other administrative documentation as required.
    • Assist with inventory and office supply management.
    • Track and maintain records for office supplies, stationery, and administrative equipment.
    • Assist with onboarding and offboarding of personnel.
    • Maintain records related to training, certifications, medicals, visas, and other required credentials.
    • Support crew welfare activities and assist personnel with general administrative inquiries.
    • Coordinate with onshore HR, payroll, logistics, and operations departments.
    • Ensure all administrative activities comply with company policies, procedures, and applicable offshore regulations.
    • Perform other administrative duties as assigned by the OIM or Rig Manager.

    Required Qualifications

    • Previous experience as a Rig Administrator, Offshore Administrator, Crew Administrator, Personnel Coordinator, or similar position.
    • Previous offshore drilling or oil & gas experience preferred.
    • Strong administrative and organizational skills.
    • Experience with personnel records, timesheets, payroll documentation, and crew rotations.
    • Good computer skills, including Microsoft Word, Excel, Outlook, and other administrative software.
    • Strong written and verbal communication skills in English.
    • Ability to maintain confidentiality and handle sensitive personnel information.
    • Ability to work independently and prioritize multiple tasks in a demanding offshore environment.
    • Strong attention to detail and accuracy.
    • Ability to work effectively with multinational crews and management personnel.
